Reporting Standards

ACTIVE SOP

Every Wadadli Solar field visit produces a documented report. Reports protect the client, protect the company, and create the institutional knowledge that makes every future technician better.


Report Types

Writing Standards

Be Specific

Do not write: "Panel looks bad."

Write: "Panel in Row 3, Position 7 has a crack across the lower-left cell. Thermal image shows elevated temperature at the crack site (estimated +18°C above adjacent modules). Panel removed from string. Replacement recommended."

Use Consistent Terminology

Instead of... Use...
"Machine" Inverter (and specify make/model)
"The box on the wall" AC combiner / AC disconnect
"The black things" Optimizers (specify model if known)
"Something looks burnt" "Carbonized insulation observed at [location]"

Describe Location Precisely

Reference panels by row and column, or by string ID. Don't say "middle of the array." Say: - "String 2, optimizer 4 counting from the inverter" - "Row 3 from bottom, 5th panel from west end" - "SE corner of array, second row"


Findings Severity Classification

Use consistent severity language in all reports:

Severity Meaning Example
Critical Safety hazard or imminent failure Exposed live wiring, thermal runaway sign
High Significant production loss or damage Failed optimizer, cracked module
Medium Moderate impact, scheduled attention Moderate soiling, minor communication fault
Low Minor, monitor over time Light soiling, minor cosmetic damage
Informational Note for records, no action needed System age observation, minor wear

Photo Integration

Every finding in the report must have a corresponding photo reference. Use consistent numbering:

Submission

  • Submit report within 24 hours of site visit
  • Photo folder submitted alongside report
  • Any Critical findings require immediate verbal notification to lead tech before report submission
  • Client-facing version may require language review — check with lead before sending
